What we collect
- When you enquire on our website.
- Your name, email address, the country you would fly from, roughly when you want to travel, how many of you there are, whether you want safari or golf or both, and anything else you choose to tell us. No field on the enquiry form asks about health, diet or mobility.
- When you book.
- Before we issue your first invoice we send you a Guest details form. It asks for your name as it appears on your passport, your nationality, passport number and expiry date, date of birth, home address, telephone number and email address. We need those to make the bookings.
- Optionally, on the same form.
- An emergency contact, any celebrations during the trip, any dietary requirements, any medical conditions we should design around, and anything else you would like us to know. Every one of those is optional and marked as optional. Leaving them blank does not affect your booking.
- If you subscribe to our emails.
- Your name and email address.
- When you visit this website.
- Our host records the usual technical details of each request: the IP address it came from, the time, and the browser. That happens on any website and we do not use it to identify anyone.
We take no payments through this website.
If you came through a travel company rather than directly, they passed us your details. We use them only to operate your trip, and that company remains your point of contact.
Why we use it
- To answer your enquiry and prepare a quote. Where UK or EU law applies, our basis is that this is necessary to take steps at your request before entering into a contract.
- To arrange and operate your trip, which means telling the lodges, guides and transfer operators who is coming.
- To send you emails about trips, if you asked us to. Our basis is your consent.
- To keep proper business records, including for tax.
Dietary and medical information is used only to make the trip work, and only where you have agreed to it on the Guest details form. We tell a lodge or a guide only what they need to know.
We do not sell your information and we do not share it for anyone else's marketing.
Who else sees it
The companies that run this website, store your enquiry and send our email are in the United States. They do nothing with your details except what we ask.
Our suppliers in southern Africa. To book a lodge, a tee time or a transfer we have to tell the supplier who is coming, so your details go to businesses in South Africa.
South Africa has not been assessed by the UK or the European Commission as offering an equivalent standard of data protection. Your information will not be protected by the same rules it would be at home, and if something went wrong your options for redress could be more limited.
So we ask you to agree to it, specifically, before we make any booking for you. We tell you what is being sent and to whom. You can say no, though we would then not be able to arrange that part of the trip, and you can withdraw at any time before the booking is made.
How long we keep it
- Enquiries that do not become bookings
- three years. People plan trips like these slowly. The copy in our enquiry store is deleted automatically after three years. A second copy arrives in our email inbox and sits outside that mechanism. Ask us and we will remove it.
- Bookings
- at least five years after the trip. Australian tax law requires it.
- Passport number and expiry date
- deleted once your trip is over. We keep the invoice, which is what the tax rules need. We do not need to hold your passport number after you have travelled.
- Health and dietary information
- deleted once your trip is over, unless you ask us to keep it for next time.
- Email subscribers
- until you unsubscribe.
Ask us to delete anything sooner and we will.
Your rights
You can ask us to show you what we hold, correct it, delete it, or stop using it for a particular purpose. Email us and we will do it, no form, no charge.
Where we rely on your consent — for marketing emails, and for dietary and medical information — you can withdraw it at any time, as easily as you gave it. Withdrawing does not make anything we did beforehand unlawful. Every marketing email carries an unsubscribe link and we act on it within five working days.
If you are in the UK or the European Union you also have the right to object to processing and to receive your information in a portable format.
If you are unhappy
Tell us first. Email us and we will look into what happened and tell you what we are doing about it.
If you are still unhappy, you can complain to a regulator. In Australia that is the Office of the Australian Information Commissioner, oaic.gov.au. In the UK it is the Information Commissioner's Office, ico.org.uk. In the European Union it is your national data protection authority.
Cookies, breaches and changes
This website sets no cookies and does not track you between visits. We count how many people visit which pages, using Cloudflare Web Analytics. It sets no cookies, stores nothing on your device, and does not identify you or follow you to other sites. That is why there is no cookie banner: there is nothing to consent to.
If there is a data breach we will record it, and where the law requires it we will report it to the relevant regulator, within 72 hours where UK or EU rules apply. We will contact you directly if a breach is likely to put you at serious risk, and tell you plainly what happened and what to do about it.
If we change how we handle your information we will update this page and change the date at the top.
If you have a question about any of this, or about a trip, get in touch.
